Job Description
Successful candidates will be required to:
- Prepare, Manage and file documents for projects
- Type submittal documents, storing and filing all project documents
- Copy, scan and store documents
- Check for accuracy and edit files
- Review and update documents
- Distribute project related copies to internal teams
- Upload and download documents to the project client and consultant on-line portals
- Check for project document updates on the client and consultant portals and make the project team aware of updates accordingly in a timely manner.
- Perform related duties as assigned by your supervisor.
Ideal Candidates must:
- Have extensive experience in EDMS; (Electronic Document Management Systems)
- Be familiar with engineering project management
- Maintain a customer-focused perspective in all activities.
- Maintain a professional attitude in providing assistance to internal and external customers.
- Have good communication skills, both written and verbal.
- Have good technical publishing and organizational skills.
- Be Familiar with general office practices and procedures.
- Be Able to maintain effective working relationships with staff and those encountered in the course of your duties at work.
- Be Able to carry out detailed written or oral instructions.
- Be Able to understand proper handling of all paperwork required in department, including reporting of time.
- Be Able to function and concentrate in a busy, noisy environment.
- Microsoft office proficient, particularly MS Excel.
Knowledge requirement:
- High National Diploma, or equivalent.
- 5 years minimum experience in document control and administration in engineering projects.
- Working with on-line portals, managing document registers.
- Working knowledge with the following programs on an intermediate level: Adobe Acrobat, Microsoft Word, Excel and Outlook; as well as Internet Explorer and Windows.
